Rental Policy

Rental Day = 24 hours

Rate Listed = Daily Rate

Weekly Rate = 3x Day Rate

RENTAL RESERVATIONS

To make a rental reservation, we require the following:

  • FULL NAME / Organization NAME (if applicable)

  • Phone Number and Alternate Phone Number, Valid & Current State Issued ID, Pick Up Date & Time, Return Date & Time

  • Payment of rental charge in full

EQUIPMENT

We ensure 100% reliability of our equipment. All gear is meticulously inspected and quality tested before and after each rental to ensure your event runs smoothly and without unexpected issues.

Any equipment issues must be reported immediately to be eligible for adjustment.

We take extensive precautions to prevent equipment failure, yet, occasional issues arise, especially with electronic gear. We regularly update our inventory with the latest AV equipment and conduct tests just before pickup or delivery. In case of malfunction, our priority is addressing day-of-event equipment failures (although these are exceedingly rare). If needed, we promptly dispatch a replacement unit or service technician.

PAYMENT TERMS

We accept credit cards, company check / bank check, ACH transfer, and cash for rentals. Unless pre-established with a business account, all rentals require full payment at pickup. Checks from a company/business account or certified bank checks must clear before equipment release, except for pre-arranged business accounts.

PICK UP / DELIVERY/ SET UP / BREAK DOWNPICK UP

Rentals are ready for pickup after 2 pm on the scheduled date. Early checkouts require prior notification.

RENTAL DAY = 24 Hours.

All rentals must be paid for at or before the time of pick up, all contracts signed and insurance information provided.

DELIVERY: Notify us for delivery arrangements at reservation time. We advise at least 3 business days notice for delivery scheduling. Delivery rates start at $60 per delivery (drop off & return) based on location and rented gear. Setup or breakdown is not included; additional charges apply for equipment breakdown by our team.

SET UP / BREAK DOWN: Request a quote for setup/breakdown during booking. Arrangements must be made BEFORE the rental date.

RENTAL RETURNS

All rentals must be returned as agreed. Daily rates are based on a 24-hour period, with a two-hour grace period. Late returns incur late fees (25% of contracted rate) or additional daily rates. Unauthorized extensions require prior consent from Icon AV.

SALES TAX

For tax exemption, share your tax-exempt certificate before payment processing to avoid tax charges. Email your certificate to: info@iconav.com

RENTALS CANCELLATION POLICY

Due to the fact that all of our equipment is by reservation only, and your confirmed equipment is removed from our availability, canceled rental orders (orders which are already paid and confirmed) are eligible for a partial refund, as follows:

  • Same Day Cancellation - 25% refund of the total rental invoice

  • Less Than 48 Hours Notice up to day of event - 50% refund of the total rental invoice

  • More Than 48 Hours - 90% refund of the total rental invoice
